Effective communication among engineers, contractors, and owners consistently leads to optimal outcomes. After selecting a team, we recommend the following steps.
1. Collaborative Design
Hold an initial meeting with the entire team to introduce everyone involved in the design process. Discuss project priorities such as cost considerations, key building features, LEED or sustainability goals, scheduling, and any special project aspects. Review all pertinent project logistics.
2. Regular Progress Meetings
Meet regularly, typically every other week, to discuss design progress, challenges, and solutions. Increase the frequency if the design pace accelerates.
3. Quality Air Delivery Meetings
Conduct these meetings at least once a month during the early design stages through the construction documents phase. Introduce new engineers and review major changes in mechanical and plumbing systems to avoid surprises and delays.
4. Coordination Meetings
Hold monthly coordination meetings during the early design stages through the construction documents phase. Each trade presents status updates, issues encountered, and proposed solutions.
5. BIM Coordination Sessions
If using Building Information Modeling (BIM) tools, hold separate sessions with 3D structural models to visualize system coordination and minimize potential conflicts during construction.
6. Regular Team Meetings
Maintain regular team meetings to understand each other’s design progress and learn how it impacts the overall project.

Our early involvement in the design meetings will allow us to provide valuable insights based on field experience and industry standards that optimize system performance, enhance energy efficiency, and ensure cost-effectiveness and constructability. This proactive approach minimizes costly revisions and streamlines the transition from conceptual design to construction.

During this stage, we refine system layouts while keeping compliant with building codes and project specifications, identify potential clashes, and improve overall workflow efficiency while ensuring that mechanical systems integrate seamlessly with electrical, plumbing, structural, and fire protection systems.
